Privacy Policy

This policy explains how Dylan Fuller Psychology collects, uses, stores and protects personal information submitted through this website. It applies to information collected via the enquiry form, email correspondence, and website analytics. Information collected during clinical sessions is governed by separate health-records legislation and the practice's clinical records policy, which is provided to clients at intake.

This policy is governed by the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

Dylan Fuller Psychology is a private psychology practice operated by Dylan Fuller, a Clinical Psychologist Registrar registered with the Australian Health Practitioner Regulation Agency (AHPRA registration number PSY0001726370). The practice operates under ABN 54733090924.

What information we collect

Through the website, we may collect:

  • Information you submit voluntarily through the enquiry form, including your name, email address, phone number (optional), how you heard about the practice (optional), and a brief description of what you would like help with.
  • Information collected automatically when you visit the site, including your IP address, device type, browser, referring URL, and pages visited. This information is collected in aggregate and is not used to identify individual visitors.

How information is collected

Information is collected directly when you complete the enquiry form or send an email. Aggregate website usage information is collected passively through the website analytics service (see below).

Why we collect it and how we use it

Information submitted through the enquiry form is used solely to:

  • Respond to your enquiry
  • Arrange an initial appointment if appropriate
  • Communicate about scheduling, fees, or referral pathways
  • Comply with legal and regulatory obligations

We do not use enquiry information for marketing, profiling, or any purpose other than responding to your enquiry.

Aggregate website analytics information is used only to understand general usage patterns and improve the website.

Who we share information with

We do not sell, rent, or trade your personal information to third parties for marketing or any other purpose.

Personal information may be shared only in the following limited circumstances:

  • Where required by law (for example, in response to a court subpoena or lawful request from a regulator)
  • Where there is a serious and imminent risk to your life, health or safety, or that of another person
  • Where mandatory reporting obligations apply (for example, in relation to children at risk of harm)
  • With service providers who help operate the website and practice (see “Where information is stored” below) — these providers process information on our behalf and are not permitted to use it for any other purpose

Where information is stored

Personal information collected through the website is stored with the following service providers:

  • Email correspondence and enquiry form submissions are stored with Purelymail, an email service provider with servers located in the United States. This constitutes a cross-border disclosure of personal information under APP 8. Purelymail is bound by privacy and security obligations consistent with protecting your information.
  • Website hosting is provided by Netlify, with servers located in the United States. Netlify processes only the technical information required to serve the website (such as IP addresses in server logs).
  • Website analytics may be provided by a privacy-respecting analytics service (such as Plausible, Fathom, or Cloudflare Web Analytics). These services collect aggregate, anonymous usage statistics and do not set cookies or collect personal information. If the analytics provider changes in future, this policy will be updated.
  • Clinical records for clients of the practice are stored separately in Halaxy, an Australian practice management system. Clinical records are governed by the practice's clinical records policy, provided to clients at intake.

How long we keep information

  • Enquiry form submissions are retained for 12 months from the date of last contact. Where an enquirer does not become a client, the information is then deleted.
  • Email correspondence related to enquiries follows the same 12-month retention period.
  • Clinical records for clients of the practice are retained for 7 years from the date of last contact for adult clients, and until the age of 25 for clients seen as minors, in line with professional standards. Clinical records are not governed by this website privacy policy.
  • Aggregate website analytics data is retained as per the analytics provider's standard policies; no personal information is involved.

How we protect information

Reasonable steps are taken to protect personal information from misuse, loss, unauthorised access, modification or disclosure. These steps include:

  • Use of encrypted email (TLS in transit) for all client and enquiry correspondence
  • Secure password protection on all accounts
  • Use of reputable service providers with established security practices
  • Limiting access to personal information to Dylan Fuller only

No method of transmission over the internet is completely secure. While reasonable steps are taken to protect your information, we cannot guarantee its absolute security.

Cookies and website tracking

This website does not set tracking cookies and does not use advertising or social-media tracking technologies. Any analytics service used by the website is selected specifically to avoid cookies and personal data collection.

Accessing or correcting your information

You have the right to request access to the personal information we hold about you, and to request correction of any inaccurate information. To make a request, contact contact@dylanfullerpsychology.com.au.

We will respond to your request within a reasonable timeframe and in line with the Australian Privacy Principles. There is no charge for a request to access or correct your information.

How to make a privacy complaint

If you believe your privacy has been breached, please contact us first at contact@dylanfullerpsychology.com.au, providing details of the issue. We will respond within 30 days.
